Q: What are the benefits of this service, i.e. why should I use your service?

A: There are so many benefits like easy, remote access to your accounting data, money and time saving, up-to-date financial information year-round, more involvement from Harshman Phillips, and more time for you to run your business, just to name a few.

 

Q: Who do I call if I have a problem using the software/services?

A: We will be there to help you every step of the way. Plus, you can always contact the vendor. Their support is excellent and sometimes includes online chat which gives you immediate answers to your questions.

 

Q: What do you mean by "utilizing the latest and greatest technology"?

A: Accounting software has taken serious steps forward such as "hosted solutions" whereby the accounting programs and files reside somewhere other than your servers/computer in your office. You can link your accounting software with an online bill pay service that syncs up with your accounting software. Using a hosted solution makes it much easier to access and maintain your accounting data files and allows you to take advantage of all of the resources of the hosting and other online software vendors.

 

Q: What software/online resources do you use with this service?

A: Accounting software will initially include Quickbooks, Peachtree and possibly one other. Our vendors include Right Networks, Sage (Peachtree), Bill.com, SmartVault, and more.

 

Q: Is my data backed up and secure?

A: Yes, your data is stored at top-of-the-line data centers that are armed with security, surveillance, power interruption prevention, advanced firewalls, and fire/smoke/flood alarm systems. Only you and those you give a user account to can access your files. Your data is backed up daily. Access to and management/sharing of your data are secured through FileTRUST which is used by multiple Fortune 100 companies. FileTRUST uses the latest 128-bit encryption software to secure your data.

 

Q: Will I lose control over my cash flow?

A: No, you will keep control as no payments will be approved or paid without your initiating the approval and payment. Plus, by having updated accounting records, you’ll have better control over your cash flow, because your cash balance will always be up-to-date allowing you to make better business decisions.

 

Q: How do your solutions/services save me money?

A: By not having to hire an accountant, bookkeeper, or administrative person, you save on the payroll, payroll taxes, benefits (including health), and you can get other indirect benefits by not having employees do this work. Plus you’ll save on stamps, envelopes, checks, and paper processing.

 

Q: How does this service save me time?

A: Right now, you or someone at your company has to print checks, someone has to sign the checks, checks have to be put in envelopes, stamps have to be put on the envelopes, then the checks have to be mailed which may require taking them to the post office. With Bill.com, all you have to do is select the bill to be paid, and everything else is taken care of for you. You can also save time by outsourcing functions like bank reconciliations, deposit processing, and month-end close to Harshman Phillips which further frees you up to spend more time running your business, selling, or being out of the office.

 

Q: What if I want to perform some of the accounting responsibilities in house?

A: We can either do all the accounting/bookkeeping functions for you or we can customize a solution in which you take care of some of the responsibilities and we take care of everything else. It is totally up to you.

 

Q: What kind of commitment am I making, i.e. what if I decide to hire someone in house to perform these functions?

A: We think you will see the cost savings and benefits and will decide that your money is better spent in another department, but if you decide to cancel your service, you can do so at any time.

 

Q: How do I set vendors up to be paid online?

A: If you have the vendor’s name, remittance address and account number (if applicable) set up in your accounting software, you can immediately begin paying that vendor via check. If you want to have vendors set up to be paid via ACH, you will also need to have an email address set up for that vendor. Bill.com will invite vendors at your request to be set up via ACH.

 

Q: Will I lose some of my accounting software’s features by using an online version?

A: We use Right Networks to “host” your accounting software. So although you will be using your software remotely, you will not be using an online version of your software. As a result, the same features that you have on your desktop version will be available to you through this service.

 

Q: How does my accounting data get transferred to the hosted site?

A: We will take care of the upload for you. It’s just a copy and a paste, then it’s finished!

 

Q: How does information between my accounting software and online bill pay sync up?

A: The solution we use has a feature that syncs up the files for you with the click of a button.

 

Q: Do I have to use a different accounting software program?

A: We’ve found that most small businesses use Quickbooks or Peachtree. With our service, you can continue to use these same programs. If you are currently using a different accounting program, we can still customize a solution for you. The technology is continually advancing, and it is only a matter of time until your accounting program can be integrated into this process too.

 

Q: How much will it cost?

A: When you are ready to get started or just learn more, we will explain all the services that you can receive and provide you a custom quote tailored exactly to your needs. Our pricing is intended to be all inclusive so you will not feel like you are getting nickel and dimed with bills. This custom quote can include all of your tax planning, compliance, and periodic meetings with a Partner to specifically discuss your business. Comparing the monthly fees for these services to the cost of having an in-house employee do the work plus the cost of your outside accountant will make adopting our solution an easy decision.
